Contractual Workforce Authentication for the People Your Vendors Send You

Contract staff work on your floor, in your warehouse and inside your systems, but they are hired by someone else. Global Checks runs contractual workforce authentication for every contract worker on your site, with identity, address, criminal record, previous employment and reference checks, so you have your own proof rather than a vendor's word.

"Our vendor says they're verified"

Most companies with a contract workforce have heard this line. A staffing agency, a facility management firm or a security contractor sends people to your site, and somewhere in the contract it says the workers have been background checked. Then a client audit asks for proof, and what comes back is a spreadsheet with a column marked "verified" and nothing behind it.

The people are on your premises, near your stock, your customers and your data. If something goes wrong, the headline carries your name, not the vendor's. That is why contract employee verification can't stop at the vendor's assurance.

Where the gaps usually are

The vendor ran a check, but not the one your role needs.A basic ID check is not the same as full contract employee verification with a criminal record search and a previous employment check.

The check was done once, years ago.Contract staff move between vendors and sites, and the original check may belong to a different deployment.

Nobody can show the report. You are told the worker is cleared, but there is no source, no date and no consent on record.

Replacements skip the queue. When a worker leaves mid-contract, the person who replaces them often starts before anyone has checked them.

Contractual workforce authentication closes these gaps by giving you a report you control, for every person who works on your site, whoever employs them.

Two ways to run contract employee verification

Contract staff sit between two companies, and either side can own the check. Our contractual workforce authentication works for both.

You are the principal employer

You use contract staff through one or more vendors and want independent proof that everyone on your site has been checked. You send us the worker list, we verify each person directly, and the reports sit with you. This is common for manufacturers, warehouses, hospitals, hotels and corporate offices that rely on facility, security and housekeeping vendors. You also get one standard across all your vendors, instead of each vendor checking in its own way.

You are the staffing or service vendor

You place people with clients and need to show those clients a credible, consistent contract staff background check for every worker you deploy. Running it through an independent, certified verification partner gives your clients reports they can file, and gives you a standard answer when the next audit comes round.

Either way, contract employee verification follows the same checks, the same consent process and the same RAG-coded report.

What our contractual workforce authentication checks

Our Contractual Workforce Screening package covers the five checks that matter most for people working on a fixed term or project contract. You can add more from our 16 checks for specific roles.

  1. Identity verification

Aadhaar, PAN, Voter ID and Passport details are confirmed against the issuing source instantly, so you know the person at the gate is the person on the vendor's list.

  2. Address verification

Confirms where the worker lives today, through a physical visit. Contract staff often move for work, so the address on an old document may not be current.

  3. Criminal record check

Court and police records are searched for pending and past cases. An eCourt search typically comes back in 15 to 30 minutes, and police verification can run through records or through the local police station where a client or site requires it.

  4. Previous employment verification

Confirms the worker's last role and dates with the previous employer, including earlier contract deployments where the worker can share the details.

  5. Reference check

A conversation with a previous supervisor, useful for team leads and anyone handling cash, stock or keys.

Common add-ons include a Drug / Health Check where your site policy requires it, and a Driving Licence check for drivers and forklift operators.

Contract staff move. Your checks should keep up.

A permanent hire is checked once and stays put. Contract staff rotate between sites, change vendors and come back on new contracts. Contractual workforce authentication has to follow those moves, or the records drift out of date.

New deployment.A worker who moves to your site from another client gets checked for your role, not waved through on an old report.

Mid-contract replacement.A replacement worker goes through the same checks before their first shift, not after.

Contract renewal.Renewal is a natural point to re-check long-serving contract staff, especially when a client contract or audit asks for current proof. Our Continuous Employment package covers this kind of re-screening.

Vendor change. When you move from one vendor to another, workers who transfer across can be re-verified so your records start clean.

Contractual workforce authentication that follows each of these moves keeps your records true to who is actually on site today.

How a contract staff background check runs with Global Checks

Contract employee verification usually arrives as a list, not one case at a time. Here is how a batch moves through.

  1. Upload the worker list.Send the whole deployment in one bulk upload, or push cases through our API or from Zoho Recruit or HRStop.

  2. Workers consent on their phone. Each worker gives digital consent and shares documents from their smartphone, so collection doesn't depend on the vendor's paperwork.

  3. Track every worker live. The dashboard shows each case check by check, and checkwise discrepancy insights show when issues cluster at one site or with one vendor's workers.

  4. Act on a clear report.Every check is RAG-coded and QC-reviewed, so your site or HR team can see straight away who is cleared to start.

Because every contract staff background check runs through the same platform as your employee checks, your compliance team has one place to look for both.

Where vendor staff verification matters most

Vendor staff verification pays off wherever contract workers get close to people, property or data. Contractual workforce authentication is set up the same way in each sector, with add-ons that match the site.

Manufacturing and warehousing.
Contract labour often makes up a large share of the floor. Identity, address and criminal record checks are the base, with previous employment for skilled trades.

Facility management and housekeeping.
Housekeeping and maintenance staff move through offices, hospitals and homes. Address and police verification carry the most weight.

Security services.
Guards are deployed at client sites, banks and residential complexes, and clients expect police verification on every one of them.

Hospitality and healthcare.
Contract staff work in guest rooms and patient areas. Most clients want proof of checks before a worker is deployed, not after.

IT and corporate offices.
Contract developers, support staff and admin teams get access to systems and client data. Previous employment and reference checks matter here, alongside identity.

Contractual workforce authentication: questions buyers ask

Contractual workforce authentication is the background check for people who work for you on a contract, often employed through a staffing or service vendor. It confirms identity, address, criminal record, previous employment and references before the worker starts on your site.

Because you carry the risk on your premises. Many vendors run only a basic ID check, or ran one years ago for a different deployment. Independent contract employee verification gives you a report with a source, a date and recorded consent that you can show a client or auditor.

Yes. Vendors use our contract staff background check to give clients a consistent, independent report for every worker they deploy.

Identity checks come back instantly, and court record searches typically take 15 to 30 minutes. Address visits, police verification and previous employment depend on the location and the source, and you can see where each one stands live on the dashboard.

Yes. Every worker gives digital consent on their phone before any check runs, and that consent is recorded against the case.

Yes. Upload the full worker list in one file and each person's status shows live on the dashboard.

For long-serving workers and sensitive sites, yes. Renewal is a natural trigger for vendor staff verification, and our Continuous Employment package covers ongoing re-screening.

Yes. Global Checks verifies workers across India, so a contract worker deployed in a tier 2 or tier 3 town is checked through the same process and report as one in a metro.

Contractual Workforce Screening is for people on a contract or fixed term, including vendor-deployed staff. Blue Collar is for full-time frontline staff on your payroll. Gig Worker is for independent partners paid per task or delivery.

Start with one site

You don't need to re-check every contract worker at once to see how contractual workforce authentication works. Send us 5 to 20 workers from one vendor or one site as a Trial Batch. See how consent works on their phones, how the reports read, and how they compare with what your vendor has on file. There is no long-term commitment.
